Privacy and website policy
How we handle your information.
Sanitise Services collects only the personal information it needs to arrange and deliver clinic cleaning and sanitising. This page sets out what is collected, why, where it is held, and what you can ask us to do with it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect and why
| Where it comes from | What is collected | Why |
|---|---|---|
| Walkthrough and enquiry form on this site | Name, clinic or group name, email address, phone number, suburb, and anything you type into the message field | To call you back, book a walkthrough and prepare a quote |
| Request form and clinic portal | Your name, the clinic you are raising the request for, contact details, the request itself and our replies, plus the portal login your clinic uses | To give each request a reference number and track it until it is closed |
| Quoting and cleaning your clinic | Site contact details, access and alarm arrangements, room list and cleaning requirements, the signed cleaning log | To deliver the service and keep the record of what was done |
| Server logs | IP address, date and time, page requested, browser type. Kept by our hosting provider for security and troubleshooting | To keep the site available and block abuse |
What we never collect
- Nothing about your patients. Every person who attends your clinic signs a confidentiality agreement before their first visit and is instructed not to read, move or photograph patient records, screens or paperwork.
- Mobile phone cameras are not used inside a clinic.
- We do not collect payment card details through this website.
Cookies and tracking
This site runs no analytics, no advertising pixels and no third party tracking scripts. It sets no cookies of its own. The clinic portal sets a single session cookie once you log in, so that you stay logged in while you use it. That cookie holds no personal information beyond your session and is cleared when the session ends.
Where your information is held
| Held by | What | Where |
|---|---|---|
| Cloudflare | The website, the request and portal records, server logs | Cloudflare's global network, with data centres including Australia |
| Our email provider | Enquiries and correspondence sent to our mailbox | Data centres operated by the provider, which may be outside Australia |
| Sanitise Services | Quotes, schedules, cleaning logs and the key register | Held by us in Victoria |
We do not sell, rent or trade your details, and we do not share them with anyone for marketing. We disclose personal information only where the law requires it, or where a contractor needs it to do work you have asked for.
Keys, alarm codes and access
Keys and alarm codes are recorded in a key register, held only by the people who clean your clinic, and returned in writing at the end of the agreement.
How long we keep it
- Enquiries that do not become clients: two years, then deleted.
- Client records, quotes, schedules and cleaning logs: seven years from the end of the agreement, which is the ordinary Australian business record period.
- Server logs: as long as our hosting provider retains them, normally no more than 30 days.
Access, correction and complaints
- To see or correct the personal information we hold about you, or to ask us to delete it, email contact@sanitiseservices.com.au or call 1300 410 324. We respond within 30 days and do not charge for a request.
- If you are not satisfied with our response, complain to us first in writing at the same address. We will answer in writing.
- If you are still not satisfied, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Data breaches
If personal information we hold is lost or accessed without authorisation and it is likely to cause serious harm, we notify the people affected and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.

- Cancellations and changes. Cancel or change a visit by phone on 1300 410 324 or by email to contact@sanitiseservices.com.au. We confirm every change in writing.
- Website content. The information on this site is general. It does not replace the standards, guidelines or advice your practice works to, and it is not advice about your accreditation.
